The Challenge

The client was using a non-integrated translation process that required extensive manual effort. Original catalogues were converted to PDFs, which were then passed through multiple stages—translation, review, adaptation, approval, and editing. Each party involved—translators, publishing agencies, and printing offices—had to convert these PDFs back into editable formats to complete their work, then convert them back to PDFs to move on to the next stage. This manual process was time-consuming, costly, and prone to errors, resulting in inconsistencies in both translations and the overall look and feel of the multilingual documentation. The client needed a more efficient, integrated solution to manage the process on their behalf, including coordination and communication with all involved parties. As an experienced international translation agency, we were well-positioned to take on this challenge.

Our Solution

We collaborated closely with the client to establish an efficient, end-to-end solution for their multilingual documentation needs. Our approach offered a seamless experience—a one-stop shop. The client sent us their original documents, and we delivered a translated, print-ready product in any language required. Here’s how we did it:

1. Automation: We automated the entire process, eliminating the need for the client to manually convert documents to PDFs or other formats for translation.

2. Dedicated Project Manager: We appointed a dedicated project manager to handle all follow-up and communication with every party involved—translators, proofreaders, desktop publishers, publishing/printing companies, and the client for final approval. The client no longer needed to intervene directly.

3. Web-Based Platform: We implemented a web-based platform that allowed all parties to monitor project progress and know when their input was needed. The platform also served as a project management tool, ensuring that deadlines were met. For the client, it provided full transparency, allowing them to track progress and maintain control.

4. Expert Translation Team: We assembled a team of expert translators with specialized knowledge of the client’s industry.

5. Translation Memory: We created a translation memory—a database of previously translated terms—that was continuously updated with each new project. This ensured consistency across translations, reduced turnaround times, and lowered costs by eliminating the need to re-translate repeated content.

Our client is one of the world’s largest barbecue manufacturers, headquartered in the U.S. with business operations in over 30 countries. Over a decade ago, they faced the challenge of translating their product literature into 32 languages. • We implemented a project website, accessible to all of the client’s affiliates and our project manager. This centralized platform allows for the secure storage of all documents and provides real-time status updates on each project.

• We created a translation memory for the client, a database of all relevant terminology. This is continuously updated and reused in future projects to maintain consistency and reduce translation time and costs.

• We ensured that our team was proficient in the latest versions of the client’s software (InCopy and InDesign), allowing us to deliver all translations in the same format as the original documents.
